Exhibitor terms and conditions

By applying to be an exhibitor at Buxton Wool Gathering, you agree to the following terms and conditions.

APPLICATION FOR SPACE:

  • You must apply using the appropriate application form.
  • By submitting a completed application, you agree to the terms and conditions.
  • The Organisers reserve the right to refuse any application whatsoever. We also reserve the right to cancel any entry which we may have accepted, without giving any reason. The Organisers’ decision is final in all cases.
  • The closing date for applications is 31st October 2023.
  • We will send out emails by 1st December 2023 to confirm places.

PAYMENT:

  • We will issue invoices to successful applicants. You must make payment by BACS on receipt of invoice.
  • You must pay in full by 1st April 2024.
  • Failure to pay in full by this date will mean the loss of your space allocation.

ALLOCATIONS:

  • The Organisers will use their discretion for the allocation of sites and positioning of stand space. While we will make every endeavour to meet Exhibitors’ needs, we cannot fulfil all requests.
  • If an Exhibitor does or does not wish to be placed alongside another particular Exhibitor, you must let us know in writing by email.
  • Exhibitors should notify the Organisers if they wish to share a space or be positioned with another trader / organisation. Exhibitors must receive permission in writing / by email to do so.

WITHDRAWAL OR CANCELLATION:

  • Where an Exhibitor withdraws from the event or cancels a space, we will endeavour to re-let the space.
  • If we are successful, then you will receive a refund of the stand fee less £15 per 2m space booked.
  • If we are unable to re-let the space due to insufficient notice of no less than 7 days, you will forfeit the stand fee.
  • In each circumstance, if you have not yet paid in full, we will still require payment for the outstanding amount.
  • Organiser discretion may allow for refunds in exceptional circumstances. Our decision is final.

INSURANCE:

  • All Exhibitors must be able to produce a current insurance certificate with a minimum Public Liability of £2 million.
  • If this is not available at the time of booking, you must submit it to us before the event. You will not be allowed to stand without insurance.

OPENING TIMES:

  • The event will be open from 10am until 4pm each day.
  • All Exhibitors must be set up 15 mins before the doors open to the public and remain on their stalls until the public have left.
  • Please do not start to dismantle stands early unless told to by the Organisers.

SETTING UP:

  • The Organisers will provide details by email closer to the event.

DISPLAY OF GOODS:

  • All goods and belongings must be within the paid for exhibit area. You must not obstruct or endanger the public or other stalls.
  • As some of the stands are irregular shapes, then we may make an allowance to accommodate this. For example, some 2m x2m stands may be 1.5 x 3m instead.
  • If you have a particular set-up, please let the Organisers know once you have received your acceptance.
  • Please ensure you cover any tables with a cloth that hides any packaging and boxes.

DAMAGE:

  • The Organisers will not be responsible for any damage, breakage, loss or injury arising from any cause either in transit, erection or during exhibition, howsoever caused.
  • The Organisers will not be responsible for the safe keeping of any article exhibited. We will require Exhibitors to take charge of their own property.

PARKING:

  • Vehicles are allowed to drive directly to the front of the venue for unloading and loading.
  • You must remove your vehicle as quickly as possible to allow other stallholders to have access.
  • All parking in the surrounding area is Pay & Display. We are unable to provide vouchers for this, so we recommend you factor parking into your costs.

LITTER:

  • You must remove all goods and rubbish from your stand.

DATA PRIVACY:

  • If you apply to be an exhibitor at Buxton Wool Gathering, we will save the information and documentation you provide until we have decided whether your application has been successful.
  • If your application is unsuccessful, we will save your details for a waiting list unless you request otherwise. In which case, we will destroy all information.
  • If your application is successful, we will save your information until at least the end of the event.
  • We will use the details you provide as part of our marketing for the event and future events. This includes your business name, contact details, and media such as photographs.
  • We may also use information from your public social media.
  • By applying, you consent to the use of this information in this way.
  • You can find our full Privacy Policy, which explains how we use, store, and process your data, on our website.
  • By applying, you have given permission for us to use photographs taken at the show of your stand and you/your staff in our publicity and on social media.
  • If you do not wish to be photographed, please let us know by email before the event.
